Learner Management

This article will walk you through the primary functions of learner management for your CBT Nuggets account in the Adept platform

Manage your Organization from the Org Member and Org Admin sections in the left side navigation pane. If you belong to multiple organizations, select your desired Org from the dropdown list in the upper left corner.

Administration available for your Organization:

  • Org-dashboard: Shows your role in the organization, all administrators of the organization, your subscription, team leaderboards, groups that you are in or manage, and content that is assigned to you through your organization.
  • Organization tab:
    • Add or edit logo
    • Transfer Organization Ownership 
    • SSO: Manage your organization’s SSO if you have access. Please contact us to request access
  • Learners: 
    • Summary: 
      • Usage and license data at a glance
    • People: 
      • Invite people to your Organization, assign Roles, Groups, and Licenses
    • Groups: 
      • Create and manage Groups, review group enrollments 
    • Learning Activity**:** 
      • Your team's training activity, including Skills completed, hours of training, and more. 
    • Enrollments: 
      • Review analytics by Course, Learner, or Group
  • Billing: Review and manage current, upcoming, and past subscriptions
    • Review your payment history (receipts)
    • Update or remove your payment method
    • Manage Auto-renew
    • Update your Billing and Shipping address and tax details

Adding a New Learner

New learners can be added to your Organization at any time. It is recommended that licenses be assigned when someone is added, but learners and admins can be invited without having a license assigned to them if needed.

To invite someone to your organization:

  • Click Learners from the left pane
  • Select the People tab
  • Click Invite People
  • Enter the learner’s email address (you can use their Username if they already have an Adept account and have provided you with their unique Username)
  • Add an optional note for the Learner
  • Assign their role:
    • Learner: will consume content and hold a license
    • Learning Admin: will act as a secondary administrator for your account, they can manage learners, assign content, and review analytics
    • Billing Admin: has access to historical receipts, and update your payment method, can purchase licenses and manage auto-renew
    • Owner: can add/remove the owner role from others in the org, has access to historical receipts, can update your payment method, can purchase licenses and manage auto-renew
  • Add to groups (optional)
  • Assign a license (optional but recommended): you will see a count of your unassigned licenses and a button to Assign License for this learner. If you do not assign a license now, you can do so later from your Purchases section.
  • Click Invite
  • The Learner will receive an email with a link to validate their email address and create their credentials

Assigning a license after someone has been invited to your Organization: 

If you invited a Learner to your Organization and later need to assign them a license, you can do so from the People tab in the Learners section. Keep in mind that licenses can not be assigned if an email address is still Unverified.

  • Click Learners from the left pane
  • Select the People tab
  • Find your Learner and click the More Actions button on the right side of the table
  • Select Manage Assigned Licenses
  • Check the box for your subscription 
  • Click Save Changes

Removing a License

If one of your team members leaves your team or otherwise does not need a license, you can remove the license to transfer it to a new learner:

If your team member no longer needs their license and will not remain in the Organization:

Note: if a Learner is removed from your Organization, they will no longer appear in your Analytics

  • Click Learners from the left pane
  • Select the People tab
  • Find your Learner and click the More Actions button on the right side of the table
  • Select Remove Person
  • You can then add a new learner to the account and assign them the license

If your team member will remain in your organization but does not need a license: 

  • Click Learners from the left pane
  • Click the People tab
  • Find your Learner and click the More Actions button on the right side of the table
  • Select Manage Assigned Licenses
  • Uncheck the subscription and Save Changes 
  • The Learner will remain in your Organization but will no longer have a license

Resending invitations

After you've added a learner or admin to your team, they will be sent a welcome email with an invitation to create their account and password. Learners who have accepted their invitation will be in the Members section of the People tab. Click Invites from the People tab to see your Pending, Expired, and Declined Invites. 

You can filter by Invite Status to quickly identify Pending invitations. From there, you can re-send, update, or cancel the invite using the More Actions button to the right of their email address.

Purchasing additional licenses

You can purchase up to 10 total licenses from the Purchases section of your account. If you would like to purchase more than 10 total licenses, please contact our Sales Team for assistance.

Purchasing licenses requires that you have a payment method saved in your account. If you do not already have a payment method saved:

  • Sign in to your CBT Nuggets account
  • Select the Billing tab from the left pane
  • Select Update Payment Method
  • Enter your new payment details (credit card or PayPal)
  • Click Update Payment
  • Your new payment method will be saved and used for future purchases

To purchase additional licenses: 

  • Sign in to your CBT Nuggets account
  • Select Billing from the left pane
  • Click on your Subscription card
  • Select Add Licenses
  • Select the Quantity (up to 10 total) and Purchase Licenses

Managing Learners by CSV 

You can upload a CSV when inviting people to your organization to quickly add multiple learners. Click the Upload a CSV option from Invite People.

Note: your file must contain a column header named "email"

Transferring Ownership

An Account Owner can designate multiple Owners for their organization. To do so, select the Owner role when inviting someone or edit their role to add Owner from the People tab. An Owner can also transfer ownership to anyone in their Organization who has verified their email address. If you are the current Account Owner and need to transfer ownership to another learner in your organization:

  • Select Organization from the left pane
  • Scroll down to select Transfer Ownership
  • Select the new owner from the list
  • Optionally, you can toggle on “Remove me from the Organization” if you would no longer like to be associated with the organization
